Position Summary
The Production Coordinator is a mid-level role that supports the Production Department with client intake, scheduling, calendaring, and logistical coordination. This role serves as an important link between clients, Production Managers, and internal teams, ensuring smooth communication, accurate project information, and well-organized resources. The Production Coordinator provides light project management support, helping deliver successful events while maintaining high standards of client service. The role is primarily office-based but includes some travel and on-site support for shows. This position also serves as the point person for Lasso within Production Management, ensuring the system is accurate and up to date. The role requires a high-capacity individual able to manage multiple priorities and deadlines, with some overtime required during peak production periods.
Essential Duties and Responsibilities
- Serve as a client-facing contact during the intake process, capturing event details and communicating requirements to the Production team.
- Manage production calendars, scheduling, and resource coordination.
- Coordinate event logistics including catering, transportation, crew accommodations, and other support services.
- Act as the point person for Lasso in Production, ensuring all event and staffing information is entered and maintained accurately.
- Assist Production Managers in pre-production planning, documentation, and resource allocation.
- Track tasks, deadlines, and deliverables to support successful project execution.
- Collaborate with the Labor Coordinator to ensure staffing needs are communicated and met.
- Prepare and distribute event-related communications to crew and internal teams.
- Provide on-site support at select events, assisting with logistics and client communication.
- Maintain organized production records and administrative documentation.
- Represent Access Audio professionally in both internal and client-facing interactions.
Qualifications
- 2–4 years of experience in production coordination, project management, or live events.
- Strong organizational, communication, and interpersonal skills.
- Ability to manage multiple priorities in a high-capacity role.
- Willingness to work occasional overtime during peak event periods.
- Proficiency in Google Docs, Sheets, and other Google Workspace tools.
- Familiarity with project management or scheduling software (Lasso or similar preferred).
- Solid problem-solving skills and attention to detail.
- Understanding of live event production processes preferred.
- Ability to travel and work on-site at shows as needed.
Physical Demands
- Primarily office-based with periodic on-site event support.
- Ability to lift up to 25 lbs. as needed during event setup or support.
Work Environment
- Fast-paced, team-oriented environment with frequent deadlines.
- Some travel required for shows and on-site event support.
- May require flexible hours, including evenings or weekends during event periods.
